The short version
- This website sets no cookies and uses no analytics or advertising trackers.
- We collect personal data only when you give it to us: by asking for a demo, by joining a waitlist, or by using the service as a customer.
- We do not sell personal data.
What we collect on this website
Demo requests. Your work email and, if you provide them, your name, company and message. We use them to answer your request. Legal basis: your consent, given by ticking the box on the form.
Roadmap waitlist. Your work email and which planned feature you asked about. We use them to email you once when that feature is available, and to decide what to build first. Legal basis: your consent. The numbers shown on the roadmap are counts only; nobody can see who signed up.
Server logs. Like any web server, ours records the IP address and time of each request for a short period, to keep the service secure and to limit abuse. Legal basis: our legitimate interest in running a secure service.
What we process for customers
When an organisation uses ColdLatch, we process its users' email addresses, roles, sign-in activity and the actions they take, including electronic signatures and the reasons they enter. We do this on the customer's behalf, as its processor; the customer decides who has an account and what is recorded. The audit log is designed so that entries cannot be changed or removed, which is a requirement of the regulated use it serves.
How long we keep it
- Demo requests: up to 24 months after our last contact with you.
- Waitlist entries: until the feature ships and we have told you, or until you withdraw.
- Customer data: for the life of the subscription and 30 days after, unless the customer asks for earlier deletion or the law requires longer.
Where it is stored
On servers in the European Union. Backups are encrypted and also kept in the EU.
Your rights
You can ask us for a copy of your personal data, to correct it, to delete it, or to stop using it, and you can withdraw consent at any time. Write to hello@coldlatch.com. If you use ColdLatch through your employer, please ask them first, since they control that data. You also have the right to complain to your data protection authority.
Changes
If this policy changes we will update the date above, and tell you directly if the change affects how we use data you have already given us.
